Food Foundations Project is a student-led educational project that provides workshops and educational materials about food literacy, nutrition basics, cooking skills, food safety, and healthy habits.

This Privacy Policy explains how Food Foundations Project, referred to here as “Food Foundations,” “we,” “us,” or “our,” handles information when someone visits our website, contacts us, requests or registers for a workshop, applies to volunteer, communicates with us as a parent or partner, or otherwise interacts with our programs.

Food Foundations is not a medical provider, healthcare provider, registered dietitian service, licensed childcare provider, or government agency. Our programs are educational. We do not provide diagnoses, treatment, medical advice, or individualized dietary advice.

What this policy covers 

This policy applies to information collected through:

  • The Food Foundations website
  • Website forms
  • Google Forms used by Food Foundations
  • Email and other direct communications
  • Workshop registration and consent processes
  • Volunteer and partnership inquiries
  • Program records maintained through Google Drive, Google Sheets, Gmail, or similar services

This policy does not govern records collected and controlled independently by a school, museum, community center, social-media platform, website provider, or other third party. Those organizations may have their own privacy policies and responsibilities.

The information requested depends on the form and the reason for the submission.

Depending on the interaction, a form may request a name, email address, phone number, organization, role or title, subject, message, workshop request details, proposed dates and times, program location, participant age or grade range, estimated attendance, scheduling availability, staff and supervision information, parent or guardian contact information, a child’s first name and age or age range, participation permission, relevant allergy or dietary information, relevant accessibility or safety information, volunteer availability and experience, and optional media-consent choices. Not every form requests every field.

Information we collect

The information we collect depends on how a person interacts with Food Foundations.

General inquiries

When an adult contacts us, we may receive their name, email address, phone number, organization, role, message, and prior correspondence with us.

This information may come through a website form, email, telephone call, social-media message, or referral from a partner.

Workshop and partnership information

A school, museum, community center, or other partner may provide information needed to plan a workshop. This may include:

  • Organization and staff contact information
  • Proposed dates, times, and locations
  • Student ages or grade levels
  • Estimated attendance
  • Staffing and supervision arrangements
  • Workshop preferences
  • Accessibility needs
  • Food and venue policies
  • Allergy or dietary information
  • Other information required by the host organization

We ask partners to provide only the information reasonably needed to organize and run the program. They should not send us full medical records or unrelated sensitive information about children.

Parent, guardian, and participant information

When Food Foundations directly manages registration or consent, a parent, guardian, or other authorized adult may provide:

  • Their name and contact information
  • A child’s first name
  • A child’s age or age range
  • Scheduling information
  • Permission to participate
  • Relevant allergy or dietary information
  • Relevant accessibility or safety information
  • Media-consent choices
  • Attendance or participation information

When a school or partner manages registration, Food Foundations may receive only limited program information rather than a full participant roster.

Volunteer information

A volunteer inquiry or application may include:

  • Name
  • Contact information
  • Age or age range
  • School or organization
  • Availability
  • Relevant experience
  • Areas of interest
  • Résumé
  • References
  • Training or certification information
  • Information required by a partner for site access or clearance

Sensitive identification, fingerprinting, background-check, or medical records should not be submitted through a general website form unless Food Foundations or the responsible partner has specifically approved that method.

Information collected automatically

A website host or related service provider may automatically process technical information when someone visits the website. This may include an IP address, browser type, device type, operating system, approximate location, pages viewed, access times, referring page, security logs, and essential cookie information.

The current website at foodfoundationsproject.org is custom coded, its source code is maintained through GitHub, and it is deployed and hosted through Vercel.

Food Foundations previously used a Wix website while the current .org website was being developed. Wix is not the current host of foodfoundationsproject.org.

Cookies and analytics

The website may use cookies or similar tools needed to load pages, protect the site, process forms, or remember basic settings.

Food Foundations does not currently use analytics tools to track website visitors.

Food Foundations does not knowingly use advertising, behavioral-tracking, or analytics cookies. Vercel and other infrastructure providers may still process basic technical information needed to deliver, secure, and maintain the website.

We do not use children’s personal information for behavioral advertising or targeted advertising.

How we use information

Food Foundations may use information to:

  • Respond to questions and requests
  • Arrange calls, meetings, workshops, and volunteer activities
  • Confirm registration and scheduling
  • Prepare age-appropriate lessons and materials
  • Address allergies, dietary restrictions, accessibility needs, and safety concerns
  • Coordinate with parents, schools, museums, community centers, and other partners
  • Maintain appropriate consent, participation, and program records
  • Manage volunteers
  • Meet venue or partner requirements
  • Send requested information and program updates
  • Conduct partnership and workshop outreach
  • Protect participants, volunteers, partners, and our systems
  • Investigate safety or conduct concerns
  • Evaluate programs using aggregate or de-identified information
  • Meet legal, administrative, or contractual requirements

Allergy, dietary, health, or accessibility information is used only for program planning and safety. It is not used to diagnose or treat a medical condition.

Information about children

The general Food Foundations website and its inquiry, registration, volunteer, and partnership forms are intended for adults.

Children under 13 should not independently submit personal information through the website.

Information about a child should be provided by:

  • A parent or legal guardian
  • An adult authorized by the parent or guardian
  • A school or program acting through an appropriate authorization or agreement
  • Another responsible partner organization

When Food Foundations directly manages registration, we seek parent or guardian involvement before a child participates.

Food Foundations does not intentionally ask children to provide financial information, Social Security numbers, government identification numbers, full medical records, unrelated family information, account passwords, or personal social-media credentials.

If we learn that a child under 13 independently submitted personal information without appropriate adult involvement, we may delete the information, contact a parent or guardian, seek proper authorization, or refer the matter to the responsible school or partner.

A parent or guardian may contact us to request access to, correction of, or deletion of information about their child.

Workshop registration may be handled by Food Foundations or by a host organization.

When a school, museum, community center, or other host manages registration, that organization may remain responsible for official rosters, parent permission, emergency contacts, attendance, medical or allergy records, supervision, and venue policies.

Food Foundations seeks to receive only the information needed to prepare and deliver the approved workshop.

Permission to participate is separate from optional permission to use a person’s photograph, video, voice, testimonial, name, or story.

A parent or guardian may withdraw optional media permission by contacting us. Withdrawal may not affect material already lawfully published or distributed before the request was received, but we will review the request and take reasonable steps where possible.

Allergy, dietary, accessibility, and safety information

Food Foundations may receive relevant allergy, dietary, accessibility, or safety information from a parent, guardian, school, museum, community center, or authorized program partner.

We may use that information to change an ingredient, avoid a food, replace a food activity, adjust materials, coordinate with venue staff, or determine whether an activity can proceed.

Food Foundations does not use this information to diagnose or treat a condition.

We cannot guarantee that a food, ingredient, surface, facility, or third-party product is free from allergens or cross-contact.

Parents, guardians, and responsible venue staff must decide whether participation is appropriate for a particular child.

Food is served only when approved through the applicable program or venue process.

Photos, videos, recordings, and testimonials

Virtual sessions are not recorded by default.

Participation in a workshop does not automatically authorize Food Foundations to use a person’s name, image, voice, recording, testimonial, or personal story.

Separate permission is required before identifiable media involving a child is used publicly. Permission may be provided by a parent, guardian, authorized adult, or responsible host organization through an appropriate process.

Declining optional media permission does not, by itself, prevent a child from participating in an otherwise available workshop.

Food Foundations team members and volunteers should not use personal social-media or messaging accounts to privately contact, tag, follow, or post identifiable information about child participants.

Email and outreach

Food Foundations may send emails to respond to inquiries, coordinate programs, confirm scheduling, communicate with volunteers, follow up with partners, provide requested information, or conduct workshop and partnership outreach.

A recipient may ask us to stop sending nonessential messages by replying to the email or contacting us at the address below.

We may keep a limited do-not-contact record so that we can honor an opt-out request. We may still send messages needed for an active program, safety matter, requested transaction, or legal or administrative obligation.

Food Foundations does not currently operate a public newsletter or mailing-list signup.

How information may be shared

Food Foundations may share limited information with people or organizations that need it for an authorized purpose. These may include:

  • Food Foundations team members
  • Parents and guardians
  • Schools
  • Museums
  • Community centers
  • Other host organizations
  • Approved volunteers
  • Website, email, form, storage, scheduling, and security providers
  • Professional advisers
  • Government or legal authorities when required or reasonably necessary
  • Emergency personnel when needed to respond to an immediate safety concern

We seek to share only the information needed for the relevant task.

When a school or partner controls the official record, requests concerning that record may need to be directed to that organization.

Service providers

Food Foundations uses or has used Google Forms, Google Sheets, Google Drive, and Gmail.

These services may process information to provide forms, storage, email, security, collaboration, and related technical functions. Their own terms and privacy policies apply to their handling of information.

The current website at foodfoundationsproject.org is custom coded, its source code is maintained through GitHub, and it is deployed and hosted through Vercel.

Sale of information, advertising, payments, and accounts

Food Foundations does not sell personal information.

Food Foundations does not use children’s personal information for targeted advertising or behavioral profiling.

The website does not currently accept donations or payments, allow visitors to create user accounts, or use advertising networks.

The policy should be updated before any of those features are introduced.

Data retention

Food Foundations keeps information for as long as reasonably needed to respond to an inquiry, coordinate a program, maintain appropriate consent or safety records, meet partner requirements, resolve a dispute, investigate an incident, honor an opt-out request, or maintain necessary administrative records.

Different records may be kept for different periods based on their purpose and the requirements of the host organization.

We seek to delete or de-identify information that is no longer reasonably needed.

Food Foundations keeps personal information only for as long as it is reasonably needed for the purpose for which it was collected. General inquiries and inactive partnership requests may be retained for up to 24 months after the last communication, while routine workshop scheduling records may be retained for up to 12 months after the related program. Child-specific allergy, dietary, accessibility, and safety information should generally be deleted or de-identified within 90 days after the program ends, unless an incident, partner requirement, or legal obligation requires longer retention. Volunteer applications, résumés, references, and training records may be kept while the person is active and for up to 24 months afterward. Consent, attendance, incident, and partner records may be kept for the period required by the responsible host organization or applicable agreement. Opt-out records may be retained as long as needed to honor the request, and duplicate, test, outdated, or unnecessary information is deleted when identified.

Data security

Food Foundations uses reasonable safeguards suited to the size and nature of the project. These may include limiting access to Drive folders and spreadsheets, reviewing sharing permissions, using passwords and available multifactor authentication, avoiding unnecessary collection, separating sensitive records from general files, and deleting unneeded copies.

No method of storage or transmission is completely secure. Food Foundations cannot guarantee absolute security.

Access, correction, deletion, and withdrawal requests

A parent, guardian, participant, volunteer, or other individual may contact Food Foundations to request that we:

  • Explain what information we maintain about them
  • Provide access to information about them or their child
  • Correct inaccurate information
  • Delete information that is no longer needed
  • Withdraw optional media permission
  • Stop nonessential communications

We may need to verify the requester’s identity, their authority to act for a child, and their relationship to the record.

Some information may need to be kept for safety, legal, contractual, administrative, or dispute-resolution reasons.

When another organization controls the record, we may direct the request to that organization.

The website and Food Foundations communications may link to schools, museums, community centers, Google services, social-media platforms, or other educational resources.

Food Foundations does not control those services or their privacy and security practices. Their own policies apply when a person visits or uses them.

Changes to this policy

Food Foundations may update this Privacy Policy when its programs, forms, technology, or information practices change.

The updated policy will show a revised “Last updated” date. Material changes may also be communicated through another reasonable method when appropriate.

These Terms of Use apply to the Food Foundations Project website, public forms, educational materials, and other online resources that link to these terms.

By using the website or submitting an inquiry, you agree to these terms. A parent, guardian, educator, or other authorized adult who submits information for a child confirms that they are authorized to do so.

About Food Foundations

Food Foundations Project is a student-led educational project that provides workshops and materials about food literacy, nutrition basics, cooking skills, food safety, and healthy habits.

Food Foundations is not a medical or healthcare provider, registered dietitian service, substitute for professional medical or nutritional care, licensed childcare provider, emergency service, or government agency.

Educational purpose

The website, workshops, and materials are provided for general educational purposes.

They are not intended to diagnose or treat a medical condition, replace medical care, provide an individualized diet, or respond to an emergency.

A participant with a serious allergy, medical condition, prescribed diet, eating disorder, or individualized concern should consult an appropriate licensed professional.

In an emergency, contact emergency services and responsible venue staff. Do not use the website, email, or workshop communications to seek emergency help.

Use by minors

The website’s general inquiry, workshop, volunteer, partnership, and registration functions are intended for adults.

Children under 13 should not independently submit personal information.

A parent, guardian, educator, or other authorized adult should handle registration, scheduling, participation permission, allergy information, dietary information, and media permission for a child.

Minors who use educational materials should have appropriate adult guidance.

Workshop requests and confirmation

Submitting a form, sending an email, requesting a date, or attending an introductory call does not confirm a workshop.

A workshop is confirmed only after the relevant parties agree on scheduling, location, staffing, supervision, program content, food rules, safety requirements, and required paperwork.

Food Foundations does not guarantee that a workshop request, volunteer inquiry, partnership proposal, or requested date will be accepted.

Participation and host responsibilities

Participation may depend on registration, parent or guardian permission, host approval, age or grade limits, attendance capacity, supervision, accessibility arrangements, food policies, and completion of required forms.

When a workshop is hosted by a school, museum, community center, or other organization, that organization may remain responsible for:

  • Official attendance and participant rosters
  • Parent or guardian consent
  • Supervision
  • Emergency contacts and procedures
  • Allergy and health records
  • Behavior policies
  • Accessibility procedures
  • Venue and food-service rules

Food Foundations facilitators provide educational instruction. They do not provide independent childcare.

Responsible host staff should remain present or available as agreed.

Accurate information and authorization

Information submitted to Food Foundations must be accurate and provided by someone authorized to submit it.

A person may not impersonate someone else, register a child without authorization, provide false consent, conceal relevant safety information, or submit another person’s confidential information without permission.

Do not submit sensitive information that a form does not request.

Food Foundations may disregard or reject information that appears incomplete, inaccurate, unauthorized, or unsafe.

Permission to participate does not automatically include permission for food tasting, photography, video, audio recording, testimonials, or public use of a person’s name or story.

Separate permission may be required for those activities.

A school or partner may administer its own consent process. Food Foundations may rely on the host’s documented confirmation that the required permission was obtained, subject to the applicable agreement.

Food activities, allergies, and safety

Some workshops may include food preparation or tasting.

Food is served only when approved through the applicable program or venue process.

Food Foundations may change an ingredient, remove an ingredient, substitute a non-food activity, ask the host to provide approved materials, postpone an activity, or avoid serving food.

Parents, guardians, participants, and host organizations are responsible for providing accurate and timely allergy, dietary, accessibility, and safety information.

Food Foundations cannot guarantee that any ingredient, product, surface, preparation area, or facility is completely free from allergens or cross-contact.

Parents, guardians, and responsible venue staff must decide whether a food activity is appropriate for a particular child.

Photos, video, recording, and testimonials

Workshop participation does not automatically authorize use of a participant’s name, image, voice, recording, testimonial, or personal story.

Identifiable media involving a child may be used only through an appropriate consent process involving a parent, guardian, authorized adult, or responsible host organization.

Participants and visitors may not record, photograph, publish, or redistribute workshop content in violation of privacy expectations, consent requirements, venue rules, or partner agreements.

Communications involving children

Food Foundations team members and volunteers should not use personal social-media or messaging accounts to establish private relationships with child participants.

Program communications involving a child should ordinarily include a parent, guardian, educator, school representative, or another responsible adult.

An exception may apply when immediate communication is reasonably necessary to address a safety concern.

Volunteer inquiries

Submitting a volunteer inquiry does not guarantee acceptance, placement, a particular assignment, direct work with children, or access to a partner location.

A volunteer may need to provide contact information, availability, experience, a résumé, references, identification, training records, or partner-required clearance documents.

Food Foundations or a partner may decline or end a placement when requirements are incomplete or continued participation would create a safety, conduct, scheduling, or operational concern.

Partner inquiries

Submitting a workshop or partnership request does not guarantee approval, a specific date, a particular facilitator, a certain attendance capacity, food preparation, food tasting, or a continuing relationship.

Program details depend on staffing, scheduling, venue approval, supervision, safety conditions, food rules, allergies, required paperwork, and available materials.

Changes, substitutions, and cancellations

Food Foundations may modify, substitute, postpone, or cancel an activity because of safety concerns, scheduling conflicts, staffing limitations, illness, weather, venue closure, missing paperwork, allergy concerns, food-policy restrictions, material availability, or partner instructions.

We will make reasonable efforts to notify the appropriate adult or partner contact of a material change.

Intellectual property

Original Food Foundations content may include website text, lesson plans, worksheets, presentations, graphics, workshop materials, branding, and other educational resources.

Unless otherwise stated, that material belongs to Food Foundations or is used with permission. Third-party material remains subject to the rights and licenses of its owner.

A person may view publicly available materials, download materials offered for download, share direct links, and use approved materials for personal or noncommercial educational purposes.

Copyright, attribution, trademark, and ownership notices must remain in place.

Without written permission, a person may not:

  • Sell or commercially license Food Foundations materials
  • Claim authorship of the materials
  • Remove attribution or ownership notices
  • Use Food Foundations branding to imply an unauthorized relationship
  • Use the Food Foundations name or logo in a misleading way
  • Copy substantial material into a commercial product
  • Alter materials to make misleading medical, nutrition, or safety claims

Prohibited conduct

A person may not use the website, forms, or materials to violate the law, harass or exploit another person, collect children’s information without authorization, distribute malware, interfere with the website, gain unauthorized access, submit spam, impersonate Food Foundations, misrepresent a partnership, publish confidential participant information, or infringe another person’s rights.

Food Foundations may restrict access, disregard a submission, or end participation connected with prohibited conduct.

The website may link to or use third-party services for hosting, forms, email, file storage, scheduling, social media, video meetings, or educational resources.

Those services operate under their own terms and privacy policies. Food Foundations does not control their availability, security, accuracy, content, or independent information practices.

A link does not necessarily mean that Food Foundations endorses every statement, service, or product offered by the third party.

Payments, donations, and accounts

The website does not currently accept donations or payments or allow visitors to create user accounts.

These terms should be updated before any of those features are introduced.

Website availability and accuracy

Food Foundations tries to keep its public information accurate and available, but it does not promise that every page, link, resource, date, or program description will always be current, complete, uninterrupted, or free from technical errors.

Food Foundations may change or remove website content and public materials when needed.

Disclaimer of warranties

To the extent permitted by law, the website and general educational materials are provided on an “as available” basis.

Food Foundations does not make warranties that are not expressly stated in writing.

Nothing in these terms excludes a right or warranty that cannot lawfully be excluded.

Limitation of liability

To the extent permitted by law, Food Foundations is not responsible for indirect, incidental, special, or consequential losses resulting solely from access to, use of, or inability to use the public website.

This limitation does not excuse intentional misconduct or gross negligence, limit liability that cannot lawfully be limited, override a separate written agreement, or remove rights provided by applicable law.

Separate agreements

A separate written agreement involving Food Foundations and a school, museum, community center, parent, guardian, volunteer, or partner may include different or additional terms.

The separate written agreement controls when it conflicts with these general Terms of Use.

Governing law and enforceability

These Terms of Use are governed by the laws of the State of New York, without applying a rule that would require another jurisdiction’s laws to govern.

If a provision is found unenforceable, the remaining provisions will continue to apply to the extent permitted by law.

Nothing in these terms waives a right that cannot legally be waived.

Changes to these terms

Food Foundations may update these Terms of Use when its website, programs, forms, technology, or partnerships change.

The updated version will show a revised “Last updated” date and will apply to later use of the website.
